Assigning document attribute values

Print Utility

You can assign document attribute values to files from Print Utility. The attribute values are assigned to the file when it is added to the spool. If you want to use the same document attributes for more than one file, you can save the attribute values to a control file. These settings are optional.

When you assign document attribute values in Print Utility, you can use the special text values FILENAME and FOLDER. Print Utility will extract the Windows file name or folder name (the last folder name immediately preceding the file name) and insert it in the specified field. If the file name or folder name is longer than the field will accept, the name will be truncated to fit. These special text values are case sensitive, so you must use all uppercase letters for the values to work properly.

These special values are useful if a file’s name and location affect how you want it to print. For example, suppose you store files containing invoices in the folder \\Invoice, and you want to print them on preprinted invoice forms. You can specify the document attribute NDHGFORM=FOLDER and use automatic spooling folders to send the files to the spool. The folder name INVOICE is substituted for the form name. The spool document form name displays on the Spool Window and you can route the spool documents to the spool printer where you have loaded the invoice forms paper.

You can specify NDHGNAME=FILENAME or NJHGJNAM=FILENAME to store the document name as either the data set or job name. This change is only effective during file configuration. If you send a file that contains a field, the settings within that header will be applied, ignoring Print Utility’s settings. This will usually occur with files originally spooled using Barr DOS products or previously archived BARR/SPOOL jobs.

Complete the following steps from Print Utility, to modify a header field value from the Document attributes list.

If you enter document attribute values that match the printer attribute values, the documents will route directly to the matching printer.

Adding an attribute value

  1. Open Print Utility.

  2. From the Manual Spooling tab, click Settings. The Spooling Properties dialog box displays.

  3. Under Document attributes, click Add. The Select Field dialog box displays header fields.

  4. Select the section from the drop-down list that contains the desired field.

  5. Select the field.

  1. Enter the field value.

  1. If the field is numeric, specify whether the value is in Decimal or Hexadecimal notation.

  2. Click OK.

You can use Print Utility to assign document attribute values that will populate header fields based on portions of the file name.

Modifying an attribute value

  1. Open Print Utility.

  2. From the Manual Spooling tab, click Settings. The Spooling Properties dialog box displays.

  3. Select the field in the Document attributes list.

  4. Click Modify. The Select Field dialog box displays the selected header field.

  5. Change the field value, if desired.

  6. If the field is numeric, specify whether the value is in Decimal or Hexadecimal notation.

  7. Click OK.

Removing an attribute value

  1. Open Print Utility.

  2. From the Manual Spooling tab, click Settings. The Spooling Properties dialog box displays.

  3. From the Document attributes list, select the field you want to remove.

  4. Click Remove.
