Use the following procedures to manage documents from the BARR/Web Interface window. You can change the document state, print documents, configure document routing, and view documents.
To perform these tasks, you must have appropriate user access rights. See the Barr Enterprise Print Server Help for more information.
For SYSIN jobs, you can only change the state of the first data set associated with the job. This change will then be applied to the other associated data sets.
Changes to the document state are stored in the documents header. Use one of the following methods to change a document's state from the window.
You can select multiple nonadjacent documents by clicking a single row, and then holding down the CTRL key while you click other rows. You can select multiple adjacent documents by selecting a single row, and then holding down the SHIFT key while you click the last row.
Right-click a document or a group of selected documents, and select a value from the list.
Select the document or group of documents, and then select a value from the Document menu on the menu bar.
Complete the following steps to route spool documents to printers.
See the Tips for routing spool documents topic for more information.
In the appropriate column, double-click the printer and/or document field. The Edit Field dialog box displays.
Match the value in printer and document fields so the document will route to the specified printer. For example, double-click the Class field and type A.
Click OK.
Print the document.
You can enable documents to print by setting the document state to Ready in the spool view. When documents enter Retain Window, their state is automatically set to Hold. Before you restore documents to the spool, you can enable them to print by setting the document state to Ready. The document attributes must also match a spool printers attributes for the document to print. Use one of the following methods to print documents.
When a document is in the Printing state, you should not modify the attributes of that document.
Restoring
a print job that contains multiple data sets in the Ready
state may cause some of the data sets to print out of order. To avoid
this, restore the job to the Spool Window in the Hold
state.
You can select multiple nonadjacent documents by clicking a single row,
and then holding down the CTRL key while you click other rows. You can
select multiple adjacent documents by selecting a single row, and then
holding down the SHIFT key while you click the last row.
Right-click the document or group of selected documents you want to print, and select Ready.
Select the document or group of documents you want to print, and then select Document | Ready on the menu bar.
From the spool view, you can also route documents by clicking the printer name in the printer list, then clicking the printer column for the document you want to print, and then clicking the printer name in the printer list again. This replaces the drag and drop feature available in the Barr Enterprise Print Server Spool Window.
You can choose which documents you want to display in the retain view based on the document date and time. Complete the following steps to select the retain start and end date.
Select the retain view.
On the menu bar, select View | Set Range. The Retain View Selection dialog box displays.
Under Start date and time, use the Date drop-down menus to select the starting month and year.
On the calendar, click the starting day.
For the starting time, use the drop-down menus to choose the hours, minutes, and either AM or PM.
Under End date, select To current date to display files up to today’s date, or select Number of days to load and specify the length of the date range. For example, enter 1 to view documents for one day or 7 to view documents for a period of one week from the start date.
Click OK to display documents from the specified date range.
Complete the following steps to restore a document or group of documents from Retain Window to the Spool Window.

Select the retain view.
Right-click the document or group of documents, and select Ready or Hold.
When you restore the document, the state selected will be the state in the Spool Window. Documents set to Ready will begin printing immediately, if their routing criteria matches that of a spool printer. Restoring a print job that contains multiple data sets in the Ready state may cause some of the data sets to print out of order. To avoid this, restore the job in the Hold state.
Right-click the document, and select Restore. This will restore the document to the spool.
You can prevent or stop documents from printing by setting the document state to Hold with one of these methods.
You can select multiple nonadjacent documents by clicking a single row, and then holding down the CTRL key while you click other rows. You can select multiple adjacent documents by selecting a single row, and then holding down the SHIFT key while you click the last row.
Right-click the document or a group of selected documents you want to stop, and select Hold.
Select the document or group of documents you want to stop, and then select Document | Hold on the menu bar.
You can view the text of a spool or retain document with one of these methods. The document text displays in EBCDIC, which is the default display for the viewer.
When a document is in the Viewing state, you should not modify the attributes of that document on the window. To edit the document properties, we recommend closing the Viewer and changing the document state to Hold.
Right-click the document or group of selected documents you want to view, and select View. The selected document displays in the Viewer utility.
Select the document or group of documents to view, and then select Document | View on the menu bar. The selected document displays in the Viewer utility.
You can send documents to programs of your choice. Once you have established destination (Send To) programs, they will appear in the Document menu and right-click menu for documents. A maximum of 10 destination programs can be displayed.
To perform this task, the Barr Enterprise Print Server computer, the Web service computer, and the client computer must be on the same intranet. You must also have the appropriate user access rights. See the Barr Enterprise Print Server Help for more information.
Verify the Barr Enterprise Print Server computer, the Web service computer, and the client computer are all on the same intranet.
On the Barr Enterprise Print Server computer, grant the users who will need access to the Send To programs read access for the spool and retain folders. In Windows Explorer, navigate to the Spool folder (normally, C:\Program Files\Barr\Spooler\Spool), right click, and share the folder with read access writes. Repeat the process for the Retain folder (normally, C:\Program Files\Barr\Spooler\Retain).
On the Web service computer, modify the Config.xml file to specify the share names. Add the SpoolUncPath and RetainUncPath parameters for the spool and retain folders. See the line shown in bold in the following Config.xml example.

On the Web service computer, modify the SpoolWindow.jnlp, to include the Send To configuration. You can add up to 10 SendTo commands. NJE header fields can also be added to the command. See the line shown in bold in the following SpoolWindow.jnlp example.

Use one of the following methods in the Spool Window to send a document to another program. Files sent from the spool to other programs are read-only. If you want to modify and save a file, use the program's Save As option.
On the menu bar, select Document | Send To | Program.
Right-click a document and select the appropriate program.
You can delete individual documents or groups of documents with one of these methods.
You should not delete data sets while other data sets within
the job are printing. We recommend changing
the state of the entire job to Hold
before deleting data sets.
If you delete a data set in a SYSIN job with multiple data sets, all of
the job's data sets will be deleted.
You can select multiple nonadjacent documents by clicking a single row, and then holding down the CTRL key while you click other rows. You can select multiple adjacent documents by selecting a single row, and then holding down the SHIFT key while you click the last row.
Right-click the document or group of documents you want to delete, and select Delete.
Select the document or group of documents you want to delete, and then select Document | Delete on the menu bar.
You can change values for all document attributes except for the columns that appear gray in color. You can edit fields from the retain view before you restore documents to the spool view. The new attribute values are stored in the documents spool header.

Fields should not be edited when documents are in the Printing
or Viewing state. If you modify
the attribute of a job header field for a multiple data set job, the attributes
will be changes for all of the job's data sets.
You can edit multiple nonadjacent fields by selecting a single row, and then holding down the CTRL key while you click other rows. You can edit multiple adjacent fields by selecting a single row, and then holding down the SHIFT key while you click the last row.
Right-click a document or group of documents and choose the appropriate command from the menu.
Double-click a field to display the Edit Field dialog box (if the field accepts data entry). You can modify the existing value or type a new value. Click OK to save your changes.
You can reprint documents from the Viewer utility.
When using a reprint range to print multiple copies of a document, make sure you set both the reprint starting point and reprint stopping point. If the reprint stopping point is not set, the first copy will start at the specified reprint starting point, but the remaining copies will reprint as the entire document.
Right-click the document and select View. The Viewer displays.
On the menu bar, select View | Text and select the appropriate text viewing mode.
Set the reprint starting point by displaying the page where you want to start printing and then clicking the Reprint Top button on the toolbar or, on the menu bar, selecting Edit | Set Reprint Top.
Set the reprint stopping point by displaying the page where you want to stop printing and then clicking the Reprint Bottom button on the toolbar or, on the menu bar, selecting Edit | Set Reprint Bottom. Your selected reprint range displays on the status bar at the bottom of the window.
On the menu bar, select File | Reprint Now or File | Reprint Later.
On the menu bar, select File | Exit to close the Viewer.
When you are ready to print the file, set the printer state to Reprint.
Make sure the document's attributes match the spool printer’s attributes.
